This Privacy Policy describes how PresentationMate ("Company", "we", "us", or "our") collects, uses, and protects your information when you use our Service.
By using the Service, you consent to the practices described in this Privacy Policy.
1. Information We Collect
1.1 Information You Provide
Account Information:
- Email address
- Name (if provided)
- Country and native language (during onboarding)
Payment Information:
- Billing details are collected and processed by Stripe, Inc.
- We receive only a reference ID and subscription status — not your full payment details
Practice Session Content:
- Audio recordings of your practice sessions
- Transcripts generated from your audio
- Talking points you enter
- AI-generated feedback
Interview Practice Context (optional):
- Resume or CV text you paste for interview preparation
- Job listing or description text
- Additional context you provide
Important: Resume, job listing, and additional context data are automatically deleted from our servers immediately after your AI feedback is generated. Only the interview type (e.g., "Behavioral") is retained for display purposes. We do not store your resume or job listing long-term.

- Practice session duration and frequency
- Feature usage patterns
- Subscription tier and usage against limits
Device and Access Information:
- IP address
- Browser type and version
- Operating system
- Timezone
- Country (detected via IP)

- Authentication cookies (to keep you logged in)
- Essential functionality cookies
- We do not use advertising or tracking cookies
2. How We Use Your Information
We use your information to:
- Provide and operate the Service
- Process payments and manage subscriptions
- Generate transcripts and AI feedback
- Enforce usage limits based on subscription tier
- Send service-related communications
- Detect and prevent fraud or abuse
- Comply with legal obligations
- Improve and develop the Service
We do NOT use your information to:
- Sell your data to third parties
- Display advertisements
- Build profiles for marketing purposes
- Train AI models on your content without consent
3. How We Share Your Information
3.1 Service Providers
We share your information only with trusted service providers:
- Clerk — Authentication (email, user ID)
- Stripe — Payment processing (email, billing info)
- AssemblyAI — Transcription (audio stream, not stored by them)
- Anthropic — AI feedback (transcript text, not stored by them)
- Amazon Web Services — Infrastructure hosting (all data, encrypted)
These providers process data on our behalf under data processing agreements (DPAs) and are contractually bound to protect your information. We have verified that each provider maintains appropriate technical and organizational safeguards.
3.2 Legal Requirements
We may disclose your information if required to comply with applicable laws, regulations, or legal process, or to protect our rights, privacy, safety, or property.
3.3 Business Transfers
If we are involved in a merger, acquisition, or sale of assets, your information may be transferred. We will provide notice before your information becomes subject to a different privacy policy.
4. Data Storage and Security
4.1 Location
Your data is stored and processed in the United States (AWS us-east-1 region).
4.2 Security Measures
We implement industry-standard security measures including:
- Encryption in transit (TLS/HTTPS)
- Encryption at rest (AES-256)
- Secure authentication via Clerk
- Access controls and audit logging
- Regular security reviews
4.3 Audio Storage
Important: We do not permanently store your audio recordings. Audio is streamed directly to AssemblyAI for transcription and is not saved on our servers. Only the text transcript is stored in your account.
5. Data Retention and Minimization
- Account information: Until account deletion
- Practice sessions & transcripts: 90 days after creation, then auto-deleted
- AI feedback: 90 days after creation, then auto-deleted
- Interview context (resume, job listing): Automatically purged immediately after feedback is generated — not stored long-term
- Payment records: As required by law (typically 7 years)
- Server logs: 30 days
Data minimization: We follow the principle of data minimization. Personal data provided for interview practice (resumes, job listings) is processed in-memory for AI analysis and purged from our database as soon as feedback generation is complete.
Deletion: You can delete individual practice sessions from your history page, or delete your entire account from your account settings page. Account deletion removes all associated data immediately, with any residual backups purged within 30 days.
6. Your Rights
6.1 All Users
- Access: Request a copy of your data
- Correction: Update inaccurate information
- Deletion: Delete your account and associated data
- Portability: Export your data in a machine-readable format
6.2 EEA Residents (GDPR)
If you are in the European Economic Area, the following additional rights and disclosures apply:
Legal basis for processing: We process your data based on: (a) contractual necessity — to provide the Service you signed up for; (b) legitimate interest — to improve the Service and prevent abuse; (c) legal obligation — to comply with tax and financial regulations.

- Right to erasure ("right to be forgotten") — delete your account and all data via your account settings page
International data transfers: Your data is processed in the United States. We rely on Standard Contractual Clauses (SCCs) and data processing agreements with our sub-processors (listed in Section 3.1) to ensure adequate protection for cross-border transfers.

6.3 California Residents (CCPA)
